Interview Updates

Most of you have received emails alerting you that you have interviews to assign in the Portal. The emails are sent weekly (on Wednesdays) to chairs who have applicants to assign. These could be new applicants who have matched to the Portal, applicants who were declined by the interviewer assigned, or assignments that expired because the interviewer did not accept or decline the assignment within seven days.

Please assign interviews to your local committee members first, then utilize the additional interviewers outside of your region as needed. 

In the next couple weeks, you should prioritize EDI applicants since completed reports are due by November 15. Please do not assign any EDI interviews to your volunteers after November 8.

Please be sure to review instructions for navigating the Portal and instructions for assigning interviews through the Portal. Both of these resources provide all the details you need to know in order to make assignments. Interview Days will be held in some committee areas in January. Your APAP staff liaison has contacted you if we are considering an Interview Day(s) in your area.

Communicating With Your Committee Members

Did you know that you can email your committee members directly from the Portal?  Within the My Committee Members section of the Portal, simply click on an email address to email a volunteer directly from your default email account.

You can download a current list of your committee members at any time from the My Committee Members section of the Portal.  The downloadable Committee List includes detailed information about your members, including email addresses, should you want to email a group of volunteers.  Please note that ALL local committee members are listed here, including parents (who do not conduct interviews) as well as those members who choose not to conduct applicant interviews.  This is denoted in the “active interviewer” column with a yes (which means active interviewer) or a no (which means not an active interviewer). 

If you would like to email ONLY your local interviewing members as a group, you can click on the red “Email interviewers” link in the My Committee Members section of the Portal.  

If a member told us how many interviews they are willing to complete, you can find this information in the column “APAP possible interview count.”  


Due Dates, Reminders, and Deadlines

Due Dates
Interviewers should submit the Interview Report Form within one month of accepting the interview assignment but no later than the final due dates listed below.

Reminders
APAP will send interviewers several email reminders: to accept their assigned interview(s), to submit the interview report(s) after they accept, and a final due date reminder one month after they accept.

Deadlines
Final deadlines for all Interview Report Forms are as follows:

EDI – due by November 15.  Do not assign EDI interviews after November 8 to allow time for interviews to take place and forms to be completed.

EDII – due by January 15.  Do not assign EDII interviews after January 4 to allow time for interviews to take place and forms to be completed.

RD – due by February 1. Do not assign RD interviews after January 17 to allow time for interviews to take place and forms to be completed.

New LinkedIn Group for APAP Chairs

As a result of some great conversations that took place during this year’s APAP and Alumni Networks Chair Conference, we now have an APAP chair Linkedin group.  This will be a mostly volunteer-led group where you can share best practices, as well as network with fellow APAP chairs around the world.  Please join us!
